Hospitality Coordinator

Working independently and exercising good judgment and discretion, the LU Stages Hospitality Coordinator is responsible for providing efficient and courteous service to each university guest, from the time they arrive on campus to their departure.
This encompasses all aspects of guest hospitality demonstrated through transportation, lodgings, Green Room experiences at the Vines Center, and other meet-and-greet opportunities around campus.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIESHosting and Hospitality
Responsibilities:
Ensure all hospitality needs are met, and guest privacy is respected.
Host university guests and understand guest contractual and rider obligations.
Conduct and draft guest research summaries for potential guest vetting.
Montview Mansion
Responsibilities:
Assist in the coordination of all day-to-day operations for the Montview Mansion related to the guest experience, facility and event preparations, inventories, and budget management.
Supervise room turnover after each guest visits the Montview Mansion.
Includes, but is not limited to, oversight of all general housekeeping tasks, such as laundry, dishwashing, room turnover, and supply inventory and replenishment.
Coordinate with Custodial and Maintenance teams and submits work orders, when necessary.
Books guest rooms, and initiates the necessary chargebacks or transactions for payment.
Student Event Assistant Management:
Oversees LU Stages Student Event Assistants' tasks, both at the Vines Center and the Montview Mansion.
Plans and provides mentorship opportunities to LU Stages Student Event Assistants.
Knowledgeable of and utilizes programs and methods such as P-Card, Infor, Banner, and ASIST, in accordance with university standards and policies, to support department purchases and general budget maintenance.
Assist in the overall production of Convocation and Campus Community.
Other various errands and office related duties as required.
SUPERVISORY RESPONSIBILITIESThis position is responsible for professional staff of approximately 13 student workers.
QUALIFICATIONS AND CREDENTIALSEducation and Experience Four year degree.
Must be able to professionally and efficiently communicate with others.
Well-developed organizational, administrative, and interpersonal skills.
Comfortable and skilled in working with numbers.
Creative, with a strong attention to detail.
Must display professionalism, trustworthiness, and honesty.
Takes initiative, by demonstrating an observant and proactive work ethic.
Ability to interpret and anticipate customers' needs.
Working knowledge of Microsoft Word, Excel, and Outlook programs.
Works well independently, and as part of a team.
Preferred Experience Eligible to be an approved driver for the university.
1-2 years' experience in hospitality, event planning, and administrative roles.
Previous knowledge of university programs, such as Infor, Banner, Assist, and BuyLU.
Experience in fast-paced environments using flexibility and management of mass information.
Capable of working with minimal oversight to reach deadlines.
Strong work ethic and team player, with the ability to collaborate successfully with a variety of people.

Computer skills, especially Microsoft office; ability to learn new skills quickly.

Physical and Sensory Abilities Regularly required to travel locally.
Frequently required to sit for extended periods to perform deskwork or type on a keyboard.

Handle materials, reach overhead, kneel or stoop in order to conduct business.

WORKING CONDITIONSWork EnvironmentThe working environment in which one will typically perform the essential functions of this position is a climate-controlled office setting.
It is well lighted and the noise level is moderate.
Driving RequirementsUse of one's personal vehicle (or LU vehicles) is required for travel in the performance of the essential functions of this position.
Proof of a valid Virginia driver's license, an acceptable DMV record, and liability insurance is required.
